Responsible for providing administrative support, managing office operations, and utilizing Microsoft Dynamics 365 to assist in various business processes. This role requires excellent communication skills, attention to detail, and the ability to work independently in a fast-paced environment.
Responsibilities:
Administrative Support:
- Perform general office duties such as answering phones, managing correspondence, and greeting visitors.
- Schedule appointments and manage calendars for office staff.
- Prepare and distribute meeting agendas, take minutes, and follow up on action items.
- Handle filing, data entry, and other clerical tasks.
Microsoft Dynamics 365 System Management
- Utilize Microsoft Dynamics 365 for managing customer relationships, sales, and marketing activities.
- Input, update, and maintain accurate data in the Dynamics 365 system.
- Generate reports and provide insights to support business decision-making.
- Train and support staff in the use of Microsoft Dynamics 365.
Document Management:
- Draft, format, and proofread documents, emails, and reports.
- Maintain and organize physical and digital files and records.
- Ensure the confidentiality and security of office documents and information.
Office Coordination:
- Coordinate office supplies, place orders, and manage inventory.
- Assist in the planning and execution of office events and meetings.
- Liaise with other departments and external parties as needed.
Customer Service:
- Provide excellent customer service to clients, visitors, and staff.
- Address inquiries and resolve issues in a timely and professional manner.
Financial Support:
- Assist with basic bookkeeping tasks, such as processing invoices and tracking expenses.
- Help prepare financial reports and budgets.
Qualifications:
- A high school diploma or equivalent is required. A bachelor’s degree in Business Administration or a related field is preferred. Additional qualifications as an Office Administrator or Secretary are a plus.
- Proven experience as a secretary or administrative assistant.
- Proficiency in Microsoft Dynamics 365 System and Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
